# Absences and Leaves

> Regulations and procedures for managing absences, inactivity, and leaves within the CosmixMC Network Staff.

This section regulates the **management of absences, periods of inactivity, and leaves** for CosmixMC Network Staff members, with the aim of ensuring proper team organization and avoiding operational gaps.

All absences must be **communicated, justified, and approved** in accordance with the provisions established here.

## General Principles

* Staff activity is a committed responsibility.
* Unreported absences directly impact team operations.
* All inactivity must be notified in advance whenever possible.
* Failure to follow this procedure may result in sanctions.

## Types of Absence

### Temporary Absence

A temporary absence refers to any period of inactivity that is **limited in time**, whether due to personal, academic, work-related, or health reasons.

### Temporary Leave

A temporary leave implies the **temporary suspension** of Staff duties for a defined period.

* Must be requested in advance.
* Requires approval from the Head of Staff or a higher authority.
* During the leave, Staff duties and permissions will not be exercised, and the rank will be removed.

### Permanent Leave

A permanent leave implies the **permanent departure** from the Staff Team.

It may occur due to:

* Voluntary request (must still be approved).
* Serious violation of regulations or accumulation of three or more Strikes.
* Prolonged inactivity without justification.
* Administrative decision.

## Procedure to Request an Absence or Leave

To request any type of absence or leave:

1. Communicate it through the designated internal channel, in this case the [Inactivity channel](https://discord.com/channels/1086642788856242217/1086642789615411202) (or [Staff tickets](https://discord.com/channels/1086642788856242217/1086642790437507102)).
2. You must indicate:
   * General reason (personal details are not required).
   * Start date.
   * Estimated duration.
3. Wait for confirmation or approval.

> Until a response is received, the absence **is not considered approved**.

## Unjustified Inactivity

The following is considered unjustified inactivity:

* Failing to report absences in advance.
* Repeatedly not responding to internal messages.
* Missing mandatory meetings without notice.

These behaviors may result in:

* Warning or Strike.
* Temporary or permanent removal of the rank.

## Reinstatement to Staff

After an absence or temporary leave:

* The Staff member must confirm their return, either via ticket or direct message to the Head of Staff.
* A rank review may be required and adjustments may be made to maintain team structure.
* In cases of extended absence, a prior update or briefing may be necessary.

## Individual Responsibility

Every Staff member is responsible for:

* Communicating their absences.
* Respecting established deadlines.
* Not performing duties during a leave.
* Maintaining clear communication.
